Notes from the session

We divided into 4 groups and a) shared information b) discussed what works well and c) any problems encountered

The four groups were:

Comments in Sharing information

• Most institutions bring bib record in from OCLC CatMe in Acquisitions and overlay using 035 field

• Set up bib duplicate checking in Acquisitions to a specific field and upon import it will tell if it is a duplicate

• Can get the bib record from the import file for the PO, rather than import the list and retrieve the bib record from the database.

Comments in What works well

• Using Ctnl N to bring the call number from the bib record onto the mfhd.

• Situation is you meant to overlay, but saved the record to the DB. Make a copy of the record you accidentally saved. Delete the record you made the copy from. Check your bib import profile in Preferences. Overlay again the import/copy record to the Acquisitions brief bib record.

• Make the OCLC screen smaller so we can see holdings information, or look at the delete column. If it is “X”, we have holdings.

Comments in Problems

• Repercussions of trying things out that isn’t apparent in the documentation. We’ve made a lot of mistakes with our workflow issues because functional training didn’t go over the “what if’s”, ie. to fix an overlay that was incorrectly done.

Serials

Comments in Sharing information

• Make an individual PO for each serial title.

• EDI friendly. Creates orders and invoices electronically.

Comments in What works well

• Can close and reset patterns easily

Comments in Problems

• Predictive patterns limited – no 5 day for example.

• Non-predictive components can’t be changed to predictive without creating a new component.

• Enumeration not ordered correctly at the item level within year.

• Collapse doesn’t work well.

Authorities

Comments in Sharing information

• Headings Validation – City University and the University of Victoria are using this. Copy catalogers look at the subject headings and names to identify problems. ORCA schools have decided to turn off Heading Validation until authority cleanup is done.

• Authority cleanup – discussion of OCLC/WLN MARS service and what it can and can’t do. This was covered in the Authorities presentation by Dale and Monica.

• Discussed impact of authority maintenance on workflow – City University has not seen a slow down in workflow. U. of Victoria have all catalogers do their own authority work; they update existing authority records rather than importing and overlaying. They plan to work from Voyager reports for further cleanup after Recon is complete.

Comments in Problems

• Most libraries are deleting non-LC subject headings. You can’t take the non-LC headings out of the browse index. It would be nice if there was more flexibility in creating indexes.

Enhancement requests

• Ability to suppress subject heading type (indicator 2) from subject indexes; ie. 650 -2; 650 -7, etc.

• Ability to delete a bib record that is attached to a PO; or created in Reserve without having to delete the item and holdings first.
